My Refdoc Account
Do I have to open an account?
To order a document, first you must open a Refdoc account.
I haven’t received the confirmation message for my account. What should I do?
First, please check that the e-mail we sent for the confirmation of your account wasn’t blocked by a spam filter on your e-mail account.
Perhaps there was also an error in the e-mail address you entered when opening your account. If that may be the case, please try to open a new Refdoc account with the correct address. If the problem continues, please contact our technical support at: assistance-technique@inist.fr
I’ve forgotten my password, what should I do?
Please click on Please click on "I have forgotten my password". You will receive an e-mail containing a link which you can click on to change your password which must be between 6 and 8 characters (letters and numbers).
Where can I modify my account information and details?
You can consult and modify your account details at any time on the "My Profile" page. Please click on "Modify my Refdoc account information".
To modify your postal address, electronic address (S.E.D. or Ariel®) or fax number, select the item you wish to change and click on "Modify".
Searching on Refdoc
Is Refdoc compatible with different web browsers?
Refdoc is compatible with Internet Explorer (at least version 7 and only on PC), Mozilla Firefox, Google Chrome and Safari.
Refdoc cannot be accessed using Internet Explorer on Macintosh because Macintosh no longer functions with this browser.
What is the difference between a simple search and an advanced search?
With a simple search you need to fill in just one field and the system searches on all reference fields.
With an advanced search you can refine your search by filling in various fields such as general subject title, article title, author, identifier (ISSN, ISBN, DOI, E-ISSN, L-ISSN), PMID, year, volume, issue number, first page and last page.
By default the system will search documents from the last 5 years. You can also opt to search through the whole catalogue.
What is the maximum number of documents given in the search results list ?
There is a maximum of 1000 documents that can be displayed on the search results list.
What sort and filter functions are available on the results lists?
On the results list you can:
- sort items:
¤ by year of publication, in ascending or descending order
- filter results:
¤ using the icons which signify that:
-
the document is available in the paper copy format
- the document is available in the digital format
- the document is available via a portal (access to these portals is only available for Cnrs laboratories).
¤ according to the type of document, whether or not there is an abstract of the document, the language of the document (as long as the language field is included in the reference concerned).
What is the widget for?
The widget is a free, interactive application that can be downloaded onto your desktop with which you can carry out a simple search on Refdoc directly from your desktop. It can also be used to receive all the latest news from Inist-Cnrs (events, press etc.) by subscribing to the RSS feed on the Home page at http://international.inist.fr
My Units of Credit (UC) Account
I already have a UC account. Do I need to open a Refdoc account?
Yes. To place orders using Refdoc, you need to open a Refdoc account. Your Refdoc account needs to be linked to your UC account. If this is not the case, please contact your Customer Service representative.
What does an account administrator have the right to do?
An administrator can search, select and confirm his/her own order. He or she can also create standard and full users and choose the UC Account(s) these users are linked to.
A mail will be sent to the user informing the account to which he/she has been linked.
An administrator can modify, approve or reject a standard user’s orders and can track his/her own orders and the orders of all his/her users.
I am the administrator of an account. How can I create users?
On the "My Profile" page, please click on "Manage my users". Here you can create, modify or delete standard users and full users.
Is there a maximum number of users per administrator?
No, an administrator can create an unlimited number of users.
What is the difference between a standard user and a full user?
A standard user can search and select documents then sends his/her orders to the administrator for approval.
A full user A full user can search, select and confirm his/her own orders.
I am a standard user or a full user, do I need to create a Refdoc account ?
Both standard and full users need to have a Refdoc account to order items.
If your administrator links you to an account and you do not yet have a Refdoc account, a mail will be sent to you asking you to open your Refdoc account.
How can I modify the maximum copyright threshold of my UC Account?

The benefits of my UC Account
I can’t find the document reference I want in the results list. How can I order this document?
Please click on the "Form" button at the bottom of the results list to complete or fill in the reference of the document you require.
If you have a bibliographic reference in the RIS (Research Information Systems) format, you can either:
- upload a file
- paste a feed.
In this way, the necessary bibliographical data will automatically be filled into the right fields.
In the price list, what does C.I.L. mean?
C.I.L. : Complementary Identification & Localization
Your order requires Complementary Identification and Localisation to find the document you want.Our information specialists will add to the document references provided and send your request to a library in our referral library network. The document will be sent to you within 6 weeks if it is available.
The maximum six-week turnaround time is just for reference and our team will do their utmost to get your document to you as quickly as possible. In fact 71% of all orders are supplied within 48h from either INIST’s own collections or those of our partner back-up libraries.
What goes in the back-up basket?
All orders from the Form (mentioned above) and the C.I.L. orders will be put in the back-up basket.
These orders are delivered by post only

Counting from the last modifications to your order basket, orders stay active in the basket for:
- 60 days for a UC Account Holder.

What sort functions are available for order tracking?
You can sort the information on your order by:
- order number
- user (name only)
- order status (being processed, processed or cancelled)
- delivery method
- delivery turnaround time
- UC Account number
- progress of the order
- start date (date the order was placed)
- end date
- reader reference.
Can I export details of the status of an order?
First you need to subscribe to the optional service by contacting your Customer Service representative. With this service, you can export tracking details on the status of your processed orders (sent or cancelled) for up to three years as a .csv file of values separated by commas. You just need to click on the "Export" button.

- date
- order number
- original order number
- article title
- general title
- author
- status
- progress step
- user
- reader reference
- delivery method
- delivery turnaround time
- copyright fiee
- VAT if applicable

- identifier (ISSN, ISBN etc.)

When your order file has been checked and approved, INIST will send you an e-mail confirming reception of that order file.
Ariel®
What is the Ariel® delivery method? How can I use it?
Ariel® is a software programme which allows you to receive your documents by digital delivery.
Only documents from our own collection can be delivered using Ariel®. To use this service you need to:
- get the software programme. INIST DIFFUSION distributes version 2.2 print only. For other versions of Ariel, please contact Cenfor www.cenfor.net (the distributor for Italy, France and Switzerland) or Infotrieve www.infotrieve.com
- fill in the registration form and agreement (link to this form) by:
¤ entering the e-mail address to be exclusively used with Ariel®
¤ setting up Ariel® so that all documents will be printed as soon as they arrive and then automatically and systematically destroyed.

I ordered a file using the Ariel® delivery method and I received a photocopy of my document. Why is this?
There was not enough memory available in your Ariel® digital mailbox to allow reception of the digital file. The file may be too large or have too many images.
Direct Electronic Delivery (D.E.D.) or Secure Electronic Delivery (S.E.D.)
What are D.E.D. and S.E.D.?
With Direct Electronic Delivery (D.E.D.), PDF versions of articles from over 2400 journals from 7 publishers can be sent directly to your computer. You do not need to install a plug-in or specific software for digital rights management.
You can download the document to your computer but it is strictly for personal use and must in no case be used for commercial purposes.
Under our agreements with the publishers involved, each page of the document ordered will have a digital watermark which includes the user's name or company name.
With Secure Electronic Delivery (S.E.D.), PDF versions of articles from over 5400 journals from 18 publishers can be sent directly to your computer. The usage and printing of these documents is covered by a DRM (Digital Rights Management). You need to install thefile open plug-in.
Which publishers do we have contracts with for D.E.D. and S.E.D.?

How do I know if a document is available using D.E.D or S.E.D. from looking at the results list?
When you run a search and a results list is displayed, you can then use the S.E.D. filter represented by the icon. . You will find the reference D.E.D. or S.E.D in the table with informaiton on services and delivery methods.
What software do I need to view documents?
To view your document in PDF format, you need to have installed Acrobat Reader (at least version 5) on your computer. This can be downloaded on the Acrobat Reader site
What are the technical requirements needed to receive the reception of documents ordered by S.E.D.?
To use the Secure Electronic Delivery service, you first need to install the File Open plug-in which you can download from the site File Open . You must have Administrator rights activated on your computer and if this is not the case you should contact your I.T. department.
When you have installed the document, click on this test document:

- if you can open this document this means File Open has been installed correctly and that you can therefore receive documents by S.E.D.

In this e-mail to our technical support team, please indicate your computer set-up (PC or Macintosh, your operating system i.e. Windows XP, Vista, Mac OS, etc. as well as the browser type and version i.e. Internet Explorer, Firefox Mozilla, Safari etc.) and which version of Acrobat Reader you are using.
During the installation, if the following message appears:
"FileOpen cannot copy the Fileopen.api file to the plugin directory of your version of. Acrobat Reader" please check that you have correctly installed Acrobat Reader, that it is not open and in use and that you have the necessary Administrator rights activated on your computer.

Is it necessary to have WINDOWS to receive documents ordered using the D.E.D or S.E.D. services?
No, you don’t need to have the WINDOWS operating system.
How am I informed when my document is ready?
You will be notified by e-mail that your document is ready.
This e-mail will include your order number, your reader reference, the document number, the journal title, the article title, the author(s) and the document source.
Please click on the document icon to view your document.
How many times can I print a document?
The number of times you can print a document depends on our agreements with each publisher. In general, you can only print a document once.
When I receive the e-mail notifying me that my document is available, how long do I have to view that document?
The digital copy of the document will remain available for 30 days before being deleted.

Copyright
What is Copyright?
The copyright or reproduction rights fee is added to the price of the document copy and the amount depends on whether the document is from France or not and the delivery method chosen. For documents form our referral libraries abroad, the copyright and reproduction rights fees will depend on the rates in each country.
The paper copyright fee for a document from a collection outside France
A flat fee of 1.8 Euros (tax not included) per document will apply and will be paid in full to the CFC (French Copyright Clearing Centre). This does not apply to certain French referral libraries.
The copyright fee for a document ordered using Secure Electronic Delivery (S.E.D.)
- Individuals or public research organizations
In some countries, individuals and research organizations may be exempted from copyright fees when the copies are for private use or for non-commercial research purposes.When this is the case, we will send you a declaration certifying that the requested copy is for private and non commercial purpose which you must keep in your files for 6 years.
- Private companies
In some countries copyright law mandates that private companies be charged a copyright fee. This fee may vary between 8 euros and 100 euros (excluding taxes) depending on the publisher. Therefore, you must specify to us the maximum fee you are willing to pay using the PDF form available online. Without any indication from you, the default amount will be the copyright fee applicable in France, i.e. 1.80 euros (excluding taxes).

Copyright fees with Direct Electronic Delivery (D.E.D.) or Secure Electronic Delivery (S.E.D.)
According to the French Copyright Law, public companies and private institutions must be authorized to electronically distribute copies of documents whether they copy the documents themselves or rely on a service provider.
This type of use does not correspond to the definition of reproduction and thus is not covered by the authorizations the CFC can grant regarding the law of January 3rd 1995 on the collective management of rights. Therefore any organisation wishing to distribute documents digitally must obtain prior authorization from the publisher for each concerned publication which INIST Diffusion does on a contractual basis.
The copyright fee, set by the publishers or their agents, may vary according to the scientific field, the type of document, etc. and may range from 4 euros (excluding taxes) to 100 euros (excluding taxes). The amount invoiced by INIST Diffusion is the amount integrated into its system at the time the copy is made.
